We often hear that Artificial Intelligence is not ready for production deployment. This may be true for generative applications like conversational agents and chatbots, mainly due to reputational risks or "hallucinations."
However, in our experience, AI applied to data analysis, automation tasks, and massive processing is fully ready for real-world environments. It’s cost-effective and can significantly impact your business.
In this case, we applied Artificial Intelligence to process thousands of resumes, automate user onboarding on the Animajobs job portal, and simplify the registration process. Candidates only need to drag and drop their CV to access the platform in a quick and easy process.
Here, we outline the problems, challenges, and the solution we implemented:
The Problem
The main challenge our client faces is dealing with highly heterogeneous data: user resumes. These come in a wide variety of formats, from Word documents to Canva-customized templates, including ‘beautiful’ designs that are sometimes hard to interpret.
Although animajobs.com is designed to make registration intuitive, the process of applying for job offers requires users to spend significant time completing their profiles: basic information, education, and experience. This enables Acttiv's HR department to assess the suitability of the candidate.
Given the typical user profile—very young individuals from across Europe—this data entry task can lead to drop-offs or introduce errors as users manually ‘transfer’ information from their CVs to their job portal profiles.
The challenge of this project was to implement a mechanism to automate this process and streamline user registration regardless of the CV format or language.
The Solution
Our proposal involved leveraging Generative Artificial Intelligence. The main advantage of using a large language model (LLM) is its ability to "understand" the data it analyzes. It not only identifies patterns and structures but also interprets context and adapts to various formats and languages.

Another key strength of this solution is that, in addition to processing information, it returns it in a structured format perfectly tailored to the client’s needs. Furthermore, since we also developed the job portal, we optimized the onboarding process so that, once the CV is processed, the user registration is fully automated, requiring no manual intervention.
With this solution, users can register on the platform in two minutes, ensuring that the HR department receives standardized and consistent candidate information. This is all thanks to the AI’s ability to extract all relevant data from their CVs.
Internally, we designed a modular architecture that separates AI tasks from other functionalities. This ensures the job portal’s usual operations are not compromised.
Security
In corporate environments, data privacy is another critical factor. Therefore, we developed a tailored solution and relied on Microsoft Azure AI Services with a data center in Europe. This ensures the confidentiality of processed information and guarantees that data provided to AI engines is not used for training other models.
Operational Costs
As mentioned earlier, using Artificial Intelligence to process unstructured data is highly cost-effective. In this case, the cost is approximately €0.005–€0.01 per document processed—a negligible expense compared to the benefits achieved.
Moreover, this technology can scale effortlessly to handle larger data volumes, maintaining both consistency and processing speed.

A common concern among clients is the possibility of the AI market facing a crisis due to inflated expectations—a traditional "bubble" scenario that could jeopardize the survival of certain companies and their solutions.
To mitigate this risk, we ensure we work with mature, proven technologies in real-world settings. Additionally, we design our solutions to be adaptable and interoperable, enabling the integration of new technologies or adjustments without compromising the investment made. For instance, we use Open Source technologies like Langchain, which allows swapping and connecting different AI providers without modifying the infrastructure. In a "worst case scenario," we could even run models on our own servers without relying on external services. This ensures development continuity, regardless of abrupt changes in the market or dominant technologies.
